Downloading Mail 

Before you start setting up your computer to download mail, you need to create your email accounts using the instructions on setting up email accounts.  AFter your email accounts have been created through the hosting control panel, you should test your email account by logging in to webmail. See webmail. By logging in to webmail you are viewing the actual email that is residing on the email server and it is the same username and password that is required to download your email to your computer. 

Downloading mail into your mail client

Your mail program or mail client uses particular settings to retrieve mail from your email server.

The basic run down of this is that you are transferring the mail that is on the mail server to your local computer and to do this you need (1) a mail client (2) correct settings, so that your mail client will know where to find your mail server (3) correct login, so your mail client will be given access to the web server to download your mail.

The settings you require are

 

  • Incoming mail server mail.yourdomainname.com.au (where yourdomainname.com.au is your domain name. Please put the correct domain name extension, eg. org, .net.au , etc.. relevant to your domain name)
  • Outgoing mail server can be either same as the incoming mail server or the same as your ISP email account. See below for a list of common ISP mail servers
  • Your incoming server will be a POP (or IMAP) with the incoming server name. Most users use POP but email hosting will work with both.
  • Email username will be the email address that you used to login to webmail to test your account

The login that you require is

  • Username is the email address that you used to login to webmail to test your account.
  • Password is the password that you created through the hosting control panel

Sending mail from your computer

 

Sending mail from your computer will always require mail to be routed through your ISPs network. To deter SPAM, ISPs (internet service providers) may require you to input the username and password that they provide for your main ISP mail account into the advanced mail setting area. If you test your account and you find that you can receive but not send mail, this is usually the case. .Click here for solution.

 

Note: When testing your newly created email account, your mail program will send your mail from your default email address. So you should either select your new email account to send mail from or set it as default, when testing for sending email. Otherwise, it may appear that your email is sending correctly from your newly created email account, when in fact you are only sending it from an existing email account.

Questions

 

I cannot send or receive mail but I can log in to webmail to send and receive mail. What is wrong?

 

You will need to check your incoming and outgoing mail servers are set correctly. Your incoming mail server must match your domain name. eg. the mail server for passioncomputing.com.au is mail.passioncomputing.com.au NOT mail.passioncomputing.com . You can set up your outgoing mail server as the same as your incoming mail server and then click on the "more settings" option and input your ISP email address and ISP password that is linked to that email address.

 

Below is an example in Outlook of a Telstra customer who needs to input their telstra username and password to be able to send mail from the email account associated with their domain name. NOTE: a common mistake is people do not save this setting as you need to click "OK" as well "NEXT" and finish. If in doubt, close down your mail client, reopen it and check that the settings are saved.

Webmail is not resolving to a login page for me to login to access my mail, and I cannot send or receive mail. What is wrong?

 

If you have recently changed your name servers, you should wait 24 hours before panicking. Check that you have set up your mail boxes correctly and that webmail is activated. The webmail box must be ticked.

If this is correct, then navigate to name servers and check that these are using default hosting name servers. Click on "hosting" button and then update name servers.

 

You should have 2 MX records and 4 A records, that look like the following. (The ip address may be different but the records should look very similar). . If all these records look correct, then you should see webmail work, as soon as your name server records have updated across the internet.

Can I leave mail on the server?

 

Each plan has an allocated mail box size. Though you can leave mail on the server, by choosing a setting on your mail client, we recommend you keep track of how many messages are accumulating in your mail box to prevent your mail box for getting too full because once your mail box is full, it will stop receiving mail.
